Telephone and Voicemail Systems Maintenance and Repair RFQ

The Manchester School District is seeking quotes on a one year maintenance contract for 25 telephone and voicemail systems described below. The proposal should cover repair or replacement of specified equipment that experiences electro/mechanical failure in the course of normal usage with same day response time included in contract. This proposal should cover all telephone and voicemail system components as well as all individual telephones and any backup systems and their maintenance.

The vendor would supply the central office with replacement telephones that we will distribute to the school with a non-working phone. The central office will hold the non-working phones for pickup by the vendor. Under this contract an average of 10 to 15 phones a year are replaced.

This proposal would not cover damage from misuse or outside environmental factors such as lightning or flooding.

The vendor should also include pricing of an hourly rate for work to be done outside the scope of this contract excluding materials. This additional work would be for items such as adding new phones and wiring, moving existing phones, repairing phones and drops damaged by misuse and additional telephone or network wiring and drops.

The Manchester School District invites you to submit a proposal for supplying ASUS EEE PC4G Series Notebooks with USB Optical Mouse.

Please submit price quotes and answers to the following questions to assist us in selecting a vendor for the Eee PC notebooks:

1. Quote that is valid for 90 days (6/26/2008 - 9/30/2008) on quantity of 1, 25, 50 and 100 units. It is expected that several orders will be placed in various amounts during the 90 day window.

2. The Manchester School District may request an extension on the 90 day window depending on the grant funding availability, subject to vendor approval.

3. Please submit listed catalog price, net cost after any discounts plus any shipping and handling charges.

4. Provide expected turnaround time on orders. Delivery within one week of order placement is expected.

5. Please include name, telephone number, fax number and email of primary contact person for the account.

6. Provide information of on-line ordering and invoicing program if available.

7. Set forth special conditions, if any. Exclusion lists, stating specific discount percentages by item/groupings must be enclosed to insure consideration. Please include warranty duration and information.

8. Award shall be made to the lowest responsible vendor, all factors considered, which is deemed most favorable to the Manchester School District. The District reserves the right to waive any informalities and to accept or reject any or all proposals.

9. All proposals should be sent no later than 12:00 PM, Thursday, June 26th, 2008 with "Proposal for Eee PC" in the subject line.
